Who we are
This website is run by The Social Outline Ltd, a company registered in England and Wales under company number 16014510. Our registered office address is listed on Companies House. We are the data controller for the personal data described in this policy. If you have any question about it, email hello@thesocialoutline.com.
What we collect and why
When you apply to work with us. Our application form asks for your name, work email, role, company name, website, the type and category of your business, your monthly ad spend range, your main growth bottleneck, the services you are interested in, your timeline and any notes you choose to add. We use this to assess whether we are a good fit and to reply to you. The legal basis is our legitimate interest in responding to enquiries, and taking steps at your request before entering into a contract.
When you book a call. Calls are booked through Calendly, which collects your name, email address and any answers you give in the booking form so the call can be scheduled. Calendly processes this on our behalf under its own privacy notice.
When you email us. We keep the correspondence and the contact details in it so we can reply and keep a record of the conversation.
When you browse the website. We use Google Analytics to understand which pages are read and how visitors find us. It uses cookies and records information such as the pages you view, the site that referred you, your device and browser type and your approximate location. Our hosting provider also records basic, privacy-friendly visit statistics (page views, referrer, device type and country) and processes IP addresses to deliver the site and protect it from abuse. The legal basis is our legitimate interest in running, securing and improving the website.
We do not sell personal data, and we do not use it for automated decision-making.
Who we share it with
We only share personal data with service providers that help us run the business and this website, under contracts that require them to protect it:
- Slack, where new applications are delivered for review
- Calendly, for call scheduling
- Google, for Google Analytics and email
- Lovable and Cloudflare, which host and secure the website
Some of these providers are based in, or process data in, the United States. Where personal data leaves the UK, we rely on the safeguards UK law provides, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement and Addendum.
How long we keep it
- Applications, bookings and enquiries that do not lead to working together: up to 24 months, so we can pick the conversation back up if you return.
- Client records: for as long as we work together and then as long as we are required to keep them for legal, tax and accounting purposes.
- Google Analytics data: no longer than 14 months.
Cookies
This website uses a small number of cookies:
- _ga and _ga_* (Google Analytics): tell visits apart so we can count them. They last up to two years.
- __cf_bm (Cloudflare): a strictly necessary security cookie that helps tell people from bots. It lasts 30 minutes.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics on every website with Google's opt-out browser add-on. Blocking cookies will not stop the website working.
Your rights
Under UK data protection law you can ask us for a copy of the personal data we hold about you, and ask us to correct it, delete it, restrict how we use it, or transfer it to you or someone else. You can also object to us using it on the basis of legitimate interests. To make a request, email hello@thesocialoutline.com. We will respond within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Changes to this policy
We will update this page if the way we handle personal data changes. The date at the top shows when it was last revised. See also our website terms.
